Share this step-by-step illustrated training guide with your staff. Two important processes are explained in detail. The first part shows how to request vouchers for individuals wishing to visit other institutions. The second part describes what to expect when a vistior wants to enter your facility with a voucher.

Sample text you can use or modify to describe the prgoram at your HR Department and other campus administrators. You may also wish to use it as the basis for a press release.

Voucher Request Process

Individuals wishing to obtain a voucher must be a faculty, staff, or NIRSA Student Member and must be a member of their own institution's recreation center. Qualifying individuals can request a voucher from a designated staff member at their institution.
Designated staff at the individual’s home institution will verify the individual’s eligibility and then complete a simple online form to request a voucher on behalf of the individual. NIRSA National Center staff will email a voucher directly to the individual within two business days.
The voucher is good for 30 days and will allow the individual entry to the recreational facilities of another NIRSA Member Institutions that has opted in. Each facility has the right to limit the use of their facilities by any individual to seven visits in a calendar year.

Program Announcement

You may wish to use the sample text below to announce your school’s participation in the program to your HR Department or other administrators.

Dear Administrator,

I am very pleased to report that all faculty and staff of Sample University who are also members of Sample Rec Center can take advantage of an exciting new benefit. Through Sample University’s participation in the NIRSA Health & Wellness Passport program, presented by Matrix, these faculty and staff can use the recreational facilities of other participating schools for free when they travel. NIRSA (the National Intramural-Recreational Sports Association, of which we are an Institutional Member) hosts an online voucher-request system to make the process straightforward and consistent across all the participating institutions.

There is no cost to Sample University or to individuals to use the program. We simply agree to reciprocate by allowing other participating schools’ faculty and staff to use our facilities when visiting Sample University. We also need to maintain our institutional membership with NIRSA.

I will be promoting the program to faculty and staff Sample Rec Center members, but I would appreciate your help in communicating this new benefit more widely. Faculty and staff who are not members of Sample Rec Center may be encouraged to become members; and candidates for faculty and staff positions are sure to look favorably on our ability to offer them free access to a wide-reaching network of recreation facilities.
